Privacy Policy

The purpose of this policy is to inform you how your personal information is being accessed by the system, who is allowed to access it, when and for what purpose, and finally how you can delete all your personal information from the system when needed.

I. Who we are:

Church Services is an LLC located in Northern Virginia, USA. It’s a software company which builds Church Management apps to support churches in staying connected with their members and serving them. Church Services cares very much about Churches as well as members and does its best to provide featured applications and tools to better manage the ministry. Church Services cares very much about your personal information safety and privacy and makes sure to provide a secure environment and restrict personal information access only to authorized super users of the church.

2. Definitions

  1. Personal data or personal information – means any information regarding an identified or identifiable natural person.
  2. Controller – means the entity which determines the purposes and means of the processing of personal data processing. Regarding the personal data processing activities performed through the website and app, the Controller Church Services LLC, hereby referred to as “Church Services”, us or we.
  3. The Church – means the church whose congregation is using the app.
  4. Super User – means any of the Church congregation who has been given elevated permissions to access personal information of some Church members.
  5. Data subject – means the identified or identifiable natural person the personal data refers to, hereby referred to as “you”.
  6. Processing – means any operation or set of operations which is performed on personal data or on sets of personal data, whether by automated means, such as collection, storage, adaptation, consultation, use, disclose or deletion.
  7. Consent of the Data subject – means any freely given, specific, informed and unambiguous indication of the user’s wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data relating to him or her.

  9. Service – means providing access to the Website and App functionalities.

3. How do we collect personal data?

  1. As a rule, the personal data we process is collected directly through your church members when they voluntarily sign up for a new account.
  2. Church members can continue to use the application without the need to sign up for an account, in case they do not desire to share their personal information.
  3. We do not collect nor is our intention to collect personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning criminal convictions and offences or related security measures, excepting the situations expressively regulated by the applicable law.

4. Children and sensitive data

Our app is not intended for individuals under the age of 16. If you are the parent or legal guardian of a child under the age of 16 and you believe your child has created an account and provided his personal information, please contact us to request the deletion of this personal data. If we confirm that we have collected this kind of personal information, we will delete that information as soon as possible. Otherwise, individuals under the age of 16, their information is collected through their parent/legal guardian when the latter, voluntarily, creates and account, and access his/her profile and enters information about their family members.

5. Purpose of data collection, retention period, and data disposal

  1. The data is collected for the purpose of helping the church ministry to serve its congregation. Based on the collected information, the church may set up groups and events which fit a certain age group or gender such as Sunday school classes.
  2. The information being collected is full name, full address, date of birth, social status, phone number, email address (optional), gender, and occupation. Also, we collect information about your household members: full name, date of birth, gender, relationship to account holder, social status, phone number (optional) and email (optional).
  3. Personal data collection remains optional. Also, after signing up, you can always visit your profile and permanently remove all your account information from the system.
  4. Church members’ information remains in the system, until they decide to unsubscribe or until the church decides to terminate the service.
  5. Phone numbers and emails can be used in group communication by super users. Church members can opt out from receiving texts and/or emails by visiting their profile.

6. Who access the data?

  1. You as a church decide who of your church members (pastor, priest, minister, servants…), requires elevated permission to access a group of members accounts for the purpose of accomplishing his ministry duties.
  2. We continuously remind all super users every time they login, that they need to be cautious about people’s privacy, not share any of their information, and only use it for ministry purposes.
  3. We have no control over your super users. You need to select them wisely and get their consent and train them on how to deal with personal information.
  4. We as Church Services do not access or deal with your church members’ personal information, nor distribute or sell or share any of their information. We only access personal information for the sole purpose of monitoring system performance and/or handling system issues, bugs or unexpected behaviors.
  5. We as Church Services do not communicate directly with any of your church members except members with system admin permission for the purpose of technical support. We never text or email or call any of your congregation unless you formally request us to do so.

6. Security of personal data

  • The security of your Personal Data is important to us. Therefore, we maintain a variety of appropriate technical and organizational measures to protect your Personal Data from loss, misuse, and unauthorized access or disclosure. We limit access to Personal Data to employees who we believe reasonably need to retrieve that information to provide our services. Considering the current state of technology, we have implemented reasonable physical, electronic, and procedural safeguards designed to protect your Personal Data, such as limiting access, encrypting, anonymizing, or storing it on secure media.
  • Given the technological dynamics and the magnitude of the current threats in the online environment, despite our considerable efforts to ensure the highest possible level of protection of personal data, we cannot always guarantee the absolute effectiveness of the security measures implemented. For this reason, it is very important that you, as the Data subject, know the risks and take minimum measures to protect your Personal data, by thoroughly checking the sources of information, avoiding access to suspicious or unknown links, regular change of passwords and the use of appropriate anti-virus and anti-malware solutions.
